Privacy notice
This notice explains how Reconnect Journeys uses personal information when you visit our website, submit an enquiry or booking, complete a Facebook or Instagram lead form, communicate with us, or interact with our advertising.
1. Who we are
Reconnect Journeys is a trading name of Artivian CIC, company number 16162005. Artivian CIC is the data controller for the Reconnect Journeys personal information described in this notice.

2. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details: name, email address, phone or WhatsApp number and country.
- Enquiry and booking details: journey interest, painting experience, room or companion preferences, timing, budget response, messages, booking status and communication history.
- Transaction details: package selected, payment status, amount, currency, transaction reference, refunds and related accounting records. Card details are handled by our payment provider and are not stored in RJCC.
- Marketing and consent records: the choices you make, when and where the choice was recorded, unsubscribe or objection history, and the notice presented at the time.
- Technical and attribution data: source page, UTM parameters, Meta lead, form, campaign, ad-set and ad identifiers, event time, click identifiers where available, IP-derived security data or IP hash, browser or device information and user agent.
- CRM outcome data: whether a lead was reached, qualified, booked, paid, cancelled or otherwise progressed, together with the date of that stage.
We do not ask for passport, health, dietary, accessibility or other special-category information in Meta lead forms. If such information is later needed to safely deliver a booked journey, it is handled separately and is not sent to Meta for advertising.
Fields marked as required are needed so that we can respond or take the requested booking step. If you do not provide them, we may be unable to answer the enquiry or provide the service. Marketing choices are optional.
3. Where information comes from
We receive information directly from you through this website, email, telephone, WhatsApp, booking and payment flows. We may also receive it from Meta when you submit a Facebook or Instagram instant form, from our payment provider when a transaction is confirmed, and from our internal records of follow-up and booking activity.
4. Why we use it and our lawful bases
- To answer enquiries and provide requested information: taking steps at your request before a possible contract and our legitimate interests in responding to genuine enquiries.
- To administer bookings, payments and the journey: performance of a contract, steps before a contract and compliance with legal obligations.
- To keep records, prevent fraud, secure our services and resolve disputes: legal obligations and our legitimate interests in operating a safe, accountable business.
- To send optional marketing: your consent, or the limited customer soft opt-in where it is permitted by law. Every marketing message will provide a simple way to opt out.
- To measure and improve Meta advertising: a valid Reconnect Journeys advertising-measurement consent where the processing involves online-advertising tracking, profiling, measurement or conversion feedback.
Where we rely on legitimate interests, our interests are responding to requested contact, operating and protecting the service and keeping accurate records without using information in a way that overrides your rights. You can object as explained below.
5. Meta Lead Ads and conversion feedback
If you submit a Reconnect Journeys instant form on Facebook or Instagram, Meta sends us the answers you chose to provide and related source identifiers. We import this information into RJCC, our customer relationship management system, so that we can respond, record consent and manage the enquiry.
Where the required Reconnect Journeys advertising-measurement consent is recorded, we may use Meta's Conversions API or related business tools to send Meta limited lead-stage or transaction events, such as contacted, qualified, booking confirmed or payment received. Depending on the event, this may include the event time, source identifiers, status, actual amount paid and currency, and contact details normalised or hashed as required for matching. Hashing reduces direct readability but does not make personal information anonymous.
We use this feedback to measure our ads and help Meta optimise delivery towards people more likely to make a genuine enquiry or booking. A confirmed-payment event uses only the amount actually received and its currency. We do not send Meta budget answers, package face value, unpaid balances, private message contents, internal CRM notes, card or bank details, passport or identity-document information, dietary or accessibility needs, health information, or other special-category guest information.
For the collection and transmission of event data through Meta Business Tools, Artivian CIC and the applicable Meta entity act as joint controllers under Meta's applicable UK Controller Addendum or EEA Controller Addendum. Meta is separately responsible for its later processing under its own Privacy Policy.
If valid advertising-measurement consent is absent or withdrawn, we do not send new RJCC qualified-lead, booking or payment events for that person to Meta. Server-side processing is not used to bypass a privacy choice.
Submitting an enquiry does not by itself subscribe you to unrelated electronic marketing. Email or WhatsApp marketing permission is separate from advertising-measurement consent, and neither is carried across automatically to Artivian or Jurga.
6. RJCC and brand separation
RJCC stores Reconnect Journeys contact records, source and attribution, consent choices, communications, lead stages, booking and payment history. Access is limited to authorised people and service providers who need it for their role.
Reconnect Journeys consent, marketing eligibility, communication history and advertising signals are maintained separately from Artivian and Jurga workspaces. Consent or an enquiry for one brand is not treated as permission to market another brand.
RJCC may assist with routing or classifying an enquiry, and Meta may use conversion feedback to optimise ad delivery. We do not use solely automated decisions to accept or refuse a booking or make another decision with legal or similarly significant effects; a person remains responsible for those decisions.
7. Who we share information with
We share only what is reasonably necessary with:
- hosting, CRM, database, email, communications, security and technical support providers;
- Meta Platforms where you use its lead forms, WhatsApp or our Meta advertising, including limited conversion feedback described above;
- payment providers and professional advisers;
- accommodation, transport or other journey suppliers when necessary to fulfil a booking; and
- regulators, courts, law-enforcement bodies or other parties where disclosure is legally required or needed to protect legal rights.
We do not sell or rent personal information.
8. International transfers
Some technology or travel providers may process personal information outside the United Kingdom. Where UK law requires a safeguard, we use an applicable adequacy regulation, approved contractual clauses or another lawful transfer mechanism. A provider may also be independently responsible for parts of its processing under its own privacy notice. Contact us if you would like more information about the safeguards relevant to your information.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose collected. We consider the status of the enquiry or booking, our relationship with you, legal and accounting requirements, dispute or fraud risk, and the need to prove and respect consent, withdrawal and suppression choices. When information is no longer needed, we delete it, anonymise it or securely restrict it.
A minimal suppression record may be retained after an opt-out so that we do not contact you again against your wishes. Meta controls retention of the copy held in your Facebook or Instagram account and systems; our RJCC copy follows our own retention criteria.
10. Marketing choices and cookies
Optional marketing choices are separate from service messages needed to answer an enquiry or manage a booking. You can withdraw marketing consent or object to direct marketing at any time by using the unsubscribe link in a message or contacting us.
Your right to object to direct marketing is absolute If you object, we will stop using your information for that purpose and keep only the minimum suppression information needed to honour your choice.
Our website uses essential technologies needed for security and core functions. Meta Pixel and other non-essential advertising, tracking or profiling technologies remain off unless the required advertising choice has been made. You can refuse those technologies and still use the website or submit an enquiry. Where a consent-based technology is introduced, we will provide a way to withdraw that choice; withdrawal stops future processing based on it without affecting earlier lawful processing.
11. Your data-protection rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, receive certain information in a portable form, object to processing based on legitimate interests or direct marketing, and withdraw consent without affecting earlier lawful processing.
You may object to processing based on legitimate interests because of your particular situation If you do, we will stop that processing unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.

12. Deleting data received through Meta
To request deletion of information received from a Facebook or Instagram lead form, email waheed@reconnectjourneys.com with the subject “Meta data deletion request” or use our contact form. Include the email address or phone number used on the form so we can locate the correct record. Do not send identity documents unless we specifically and securely request them.
After verification, we will delete or anonymise information we are not required to keep, restrict any information that must be retained for legal reasons, and confirm the outcome. To manage the separate copy held by Meta, use the privacy controls in your Facebook or Instagram account.
13. Security
We use proportionate technical and organisational measures designed to protect personal information, including access controls, secure connections, logging, backups and restricted administrative access. No internet or storage system can be guaranteed completely secure.
14. Children
Our Meta lead-generation forms are intended for adults. We do not knowingly use children's information for advertising optimisation. If a journey booking requires information about a child, it must be supplied by an appropriate adult and will be used only as needed to manage the booking, safety and legal obligations.
15. Changes to this notice
We may update this notice when our services, providers or legal obligations change. The latest version will appear on this page with its updated date.
